Classroom presentation systems

The Office of Classroom Management provides a consistent presentation system across all General Purpose Classrooms. The information below covers information about cables provided for your laptop to connect to present via HDMI or USB-C cables, connect to microphones and cameras with the USB Camera & Audio cable, or (if available) use an installed instructor computer provided by a local department or Zoom Rooms.

Standard connections

HDMI and USB-C cables

We are continually updating the classroom equipment to provide a standard set of inputs. While we provide the best set of connections possible, you are responsible for providing an adapter to make sure your device can connect to the system. Below are examples of USB-C and HDMI cables:

How to connect

  1. Choose a connection that works with your device.
  2. Connect the cable at the instructor station to your device.
  3. Select the connection type as your presentation source on the touchscreen control panel.

USB camera & audio cable

All general purpose classrooms provide a cable for connection to the classroom's audio and video system. This connects what’s happening at the front of the room to those online or to capture a recording.

Connect, select, and adjust

When the USB cable is connected, you will have access to the classroom’s audio output from microphones and video from the installed camera(s) if available.

  1. Connect the “USB Camera & Audio” cable. Locate the USB cable in the outlet pocket of the instructor station and connect it to your device.
  2. Select your sources. On your laptop, select the correct source for camera, microphone, and speakers. To confirm the name of the devices provided to your laptop in your classroom, check this USB Camera & Audio List for General Purpose Classrooms.
  3. Adjust settings on touchscreen. On the instructor touchscreen control panel, use the “USB Camera Controls” menu to adjust camera settings. This step may not be needed if signals are working correctly. Additionally, it may not be available in all rooms.

Recommended preparation

Before your next class, consider taking the following actions to ensure you are ready:

  1. Install software on your computer. Both Zoom (for online meetings) or Kaltura Capture (for recordings) are provided by OIT, and both integrate well with Canvas.
  2. Schedule a time to test your video workflow in your classroom from start to finish. To confirm technology installed in your classroom, check Room Search.
  3. Connect your computer to the classroom audio and video sources via the red USB 2.0 cable with a rectangular connector. Adapters are available at the bookstore for computers limited to USB-C ports.

Find this feature

Any general purpose classroom that has microphones or cameras provides a USB Camera & Audio output. Use Room Search to either confirm available technology or find the best room for your conferencing and recording needs.

Limited-availability connections

Installed instructor computers

Some classrooms have computers provided by the local department. These devices are maintained and supported by those groups. Their contact information is provided below.

Use Room Search to find out the specific equipment that can be found in a specific classroom.

Presenting from a laptop

There are multiple ways to present your laptop to the screens in the room:

Joining from a Zoom meeting

If you would like to join a meeting already scheduled or in progress:

  1. Select Join Meeting from the touchscreen.
  2. Enter meeting details: Meeting number, password, etc.

NOTE: This is the preferred method as it allows easy sharing of the information to join the meeting and also facilitates recordings that will be owned by the meeting creator.

If you would like to start a new meeting from the classroom:

  1. Select New Meeting.

NOTE: Any recording made from this meeting will not owned by the room system and unavailable to share.

Known issue: Screen is black (one or more)

Screen is black

If the one or more of the displays remain black after turning the system on, use the touchscreen interface to send a new power-on command to all displays.

  1. Open the "Room Controls" submenu from the left on the main menu or in the top-right while in a call.
  2. Press "On" to send a command to all screens.

NOTE: Please allow up to 15 seconds for displays to respond to the power-on commands.

Known issue: Echoing audio

If there is another device in the same Zoom meeting in the room with an unmuted mic and/or speakers, this will result in the audio looping of the call audio. To address the issue, either leave the call from the second device and allow the Zoom Room system to provide audio to/from the call.

NOTE: If you need to stay in the call from a second device to access advanced Zoom features, choose to "leave call audio" from that Zoom client.

Known issue: Choppy screen share for video

If providing smooth video to the screens in the room is important, use the USB-C laptop cable to share content for the best experience.

NOTE: Wireless screen share is ok to use for static content such as text or photos. Video playback shared wirelessly will result in degraded or choppy playback.
